Collection of personal information
Provision of your personal data to BP is completely voluntary. To the extent that you do, we rely on your active consent to process the personal data you provide us, in accordance with this Privacy Statement.
Your personal data will only be used for the purposes of organizing the event which you have been invited to attend, and ensuring that you have a pleasant and safe experience. The personal information collected by BP may include your name, contact details, job title, name of the company you work for, incoming and outbound travel details and next of kin’s emergency contact details.
BP may also collect some sensitive personal information relating to you, such as any allergies or medical condition we need to be aware of in order to tailor the event to your specific needs. Such data will only be processed to the extent that you explicitly consent thereto, in accordance with Article 9.2(a) GDPR.
BP will neither use your personal information for direct marketing, nor sell your personal information to third parties at any point.
Recipients of the Personal Information
Access to your personal data will be limited to the relevant members of BP staff responsible for promoting and organizing the event. If we use the services of one or more third-party service provider(s) to help us host our event, any disclosure of personal information will be on a strict need-to-know basis and will be subject to the third party acting only on our instructions and in accordance with the contractually required security measures.
We reserve the right to disclose your personal information as required by law, or when disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, request from a regulator or any other legal process served on BP.
Transfer of the Personal Information outside of the EEA
BP may disclose your personal data to other BP entities that may be located outside of the EEA. Where this is the case, your personal data shall remain at all-time protected by BP’s Binding Corporate Rules which guarantee an adequate level of data protection throughout the BP group.
Your data shall only be kept for as long as necessary to run the event, and shall be deleted thereafter. Your name, job title and the name of the company you work for may however be retained for up to seven (7) years to enable us to comply with anti-bribery audit requirements.
Rights of Access, Rectification and Erasure
In accordance with our internal policies you may ask us to provide you with access to any personal data we process about you.
