Job summary

Grade IResponsible for providing elemental procurement, programme and stakeholder management support for the hub or at site, conducting day-to-day (non-category aligned) procurement execution activities under supervision, in order to meet the Service Level Agreements and Operational Level Agreements for procurement operations.

The Contract Enablement Senior Analyst is an individual contributor for delivering quality outcomes across BP’s Contract Lifecycle Management process specifically Contract Enablement. In addition, this role will support various BP businesses with a range of contract management and supplier validation activities.

The ideal candidate has practical and application experience in contracting of services and commodities, extensive knowledge and understanding of contracts and legal terms, coupled with a strong communication skills. Working within a defined global process framework, there is an opportunity for this role to contribute to an enhanced Service Delivery Model around how BP third party arrangements are coordinated over the term of their life ensuring that maximum value is extracted from each arrangement.

What will I do?

Contract Enablement Senior Analyst will support, enable and operationalize contracts in Contract Enablement for 3rd party suppliers and end-to-end contract management life cycle review; which includes the following activities:

  • Contract Enablement
  • Contract Validation
  • Contract Close Out and Exit

Contract Enablement

  1. Support in validating, reviewing contracts and provide assurance by carrying them out in accordance with BP Procurement guidelines and policies.
  2. Perform contract quality compliance for contracts to mitigate risk and audit compliance before operationalizing in Ariba.
  3. Providing Procurement team of any contractual ambiguities.
  4. Support in contract enabling, compilation, and ensure relevant appendices or exhibits are appended.
  5. Ensuring contracts are signed and approved by BP’s authorized personnel in line with the company’s Limits of Authority and Power of Attorney policies.

Contract Creation

  1. To build contract headers, contract workspace and contract compliance in ARIBA.
  2. Facilitate signature process for contracts, amendments and variations.
  3. Ensure storage and documentation of contract related documents in ARIBA.
  4. Supporting of transactional systems according to the buying channel nominated.
  5. Operationalize contract within appropriate systems.
  6. Ensure completion of P2P data before handing off for purchasing operations.

Contract Validation

  1. Amend contract's headers, workspace and compliances through ARIBA.
  2. To Monitor, analyze and ensure compliance to contracts.
  3. Ensure the affected appropriate changes or notices are made within the appropriate systems.
  4. Update and to connect with the impacted partners on changes.

Closing out of Contracts

  1. Ensure contracts are closed out and terminated accurately on ARIBA.
  2. Archiving of documents to ensure legal compliance.
  3. Closing of transactional systems in accordance to the contract requirements.

Stakeholder Engagement & Communication

  1. Collaborate with various internal partners, Category/Sourcing team, Procurement Operations, Supplier Enablement and Master Data Management team; and third party including BPO.
  2. Participate and support discussions and meetings with various stakeholders.

What will I bring?

  • Formal qualifications constituting university degrees, examination certificates of education attainment or licenses.
  • 8 years or more working experiences in Procurement and Supply chain.
  • Comfortable in working on UK & US time zone shift.
  • Extensive experience in Source-to-Pay processes and systems.
  • Strong experience and knowledge in ARIBA or other e-procurement tools and deployments of similar scope and scale.
  • Proficient with contract terms and conditions.
  • Knowledge of procurement – contract operationalization, contract review and daily contract management.
  • Proficient and strong interpersonal skills (both written & verbal) in English and preferably in Mandarin language.
