Job summary

The PA is an essential member of the EVP executive office, working closely with the Executive Assistant to manage and coordinate activities and ensure an effective and smooth running office. You will work closely with other executive PA's across the bp leadership team and externally to provide high-touch support to the EVP and LT members.

Key accountabilities
  • Diary Management: full-year organisation of the diary and appointments, provision of full administrative service in respect of travel and visit management, including itinerary management and booking for all travellers from the office. Working with the broader office to understand priorities and manage conflicts appropriately.
  • Meetings & Events: Organising meetings, ensuring that the practical arrangements are in place, that meetings run smoothly and efficiently, and that any necessary preparation materials are received on time. This will include conferences and off-site meetings.
  • Relationship Management: Building and maintaining good relationships with a number of key internal and external contacts. The role provides a vital link between several BP offices and Group Leaders, and good relationships must be maintained. Relationship with key contacts external to BP and within other parts of the Group must be professionally handled and preserved for future business opportunities.
  • Correspondence: Written and verbal correspondence with internal and external contacts. Extensive use of e-mail system including access to e-mails as appropriate, including actioning or progressing with others in the absence of the recipient, ensuring that correspondence with such contacts is courteous, helpful and completed promptly. Management of all customer correspondence escalating only when essential.
  • Administration: Acting as a point of contact on a day-to-day basis, often in the absence of supervision. Confidence to prioritise activities and incoming materials and to action/refer as appropriate. Responsibility for electronic and paper filing systems, the preparation of e-expenses and management of invoices. Managing and prioritising the 'inbox' of the Executive VP as required.
  • Ethics & Compliance Support: Support the relevant leadership tag specifically focused on ensuring compliance of certification process, communication updates, entertainment and gift management, training completion and monthly reporting is completed and monitored on a timely basis.

  • Flexibility: Flexibility and efficiency to ensure the roles and responsibilities are met quickly and effectively.
  • Influence: Ability to influence and have strong relationships with internal and external stakeholders.

Desirable criteria & qualifications
  • Knowledge of the energy business is an asset
  • Strong performance track record in similar roles
  • Must have Executive PA experience
  • Experience working in an Executive office
  • Courteous team working and networking skills with peers and managers worldwide
  • Professional demeanour and poise under pressure
  • Ability to intelligently assess and anticipate requirements
  • Ability to judge and maintain confidentiality
  • Proven capability of managing internal and external relationships
