Job summary

Responsible for providing general support potentially, for multiple teams with a variety of administrative activities in order to support an effective, efficient and compliant business. The level for this position is based on complexity of accountabilities including breadth and/or depth of knowledge and skills required.

We have a great opportunity for an experienced Personal Assistant to join our team, supporting the US VP for Hydrogen and team within our Gas & Low Carbon organization.

About the role
Within this role, you will perform a wide range of administrative tasks which may include maintaining all files, calendars, updating procedures, maintaining vacation schedules, ordering office supplies, ordering meals, travel/logistical arrangements, onboarding new staff members, processing expense reports, handle, track and report metrics and provide other reports as requested.

You will be accountable for:

  • Daily management and co-ordination of calendar for one or more senior level managers as requested, anticipating materials and papers needed for meetings and proactively handling potential issues in location / timings / travel arrangements.
  • Point of contact for the senior manager.
  • Where required, review of email inbox to screen out unwanted emails and respond to simple requests and requirements.
  • Schedule meetings and teleconferences as required, booking rooms as appropriate including associated requirements e.g. equipment and availabilities (room and personnel).
  • Organize travel and logistics arrangements and prepare itineraries.
  • Preparation of expenses for approval and management of invoices.
  • Assist with creating reports and presentations.
  • Facilitate events arranging all associated logistics and provide event support.
  • Lead all aspects of the joiner/mover/leaver processes and any associated tasks.
  • Handle all IT requests.
  • Coordinate training for the team and monitor staff completion.
  • Produce written documentation on behalf of the manager.
  • Working within budgets.

About you

You must have extensive administrative experience at senior level including intelligent calendar management. Someone who has experience in handling global partners; including supporting external customers, government officials and other third party organization. You will need to be able to connect with and handle partners at multiple levels of the organization.

It's advantageous to have the ability and comfort to work with ambiguity and in a high-pressured environment. When entrusted with confidential information, always handle it with utmost duty of care and tact. A self starter demeanor, highly motivated and ability to handle a large agenda is helpful. We are looking a team player with the ability to adapt quickly to changing circumstances and prioritize activities. It's desirable to have excellent listening skills, high integrity and courage, strong EQ and be inclusive and collaborative.

It's also important to have:

  • Advanced proficiency in MS office tools
  • Excellent attention to detail and a solid understanding of our bp systems and processes
  • Cultural proficiency, self-awareness, and ability to work in varied cultural environments
  • Demonstrated ability to quickly learn and develop on the job to fill any skills gaps
